Scope of Work:
The Proposal Coordinator works within the organization’s business development department to prepare and support the proposal team in producing proposals that answer government requests for proposal (RFPs). This position requires an individual with the ability to communicate effectively in writing, should be very talented in formatting, proof reading, and assist the team in multiple capacities. The successful candidate will possess the ability to plan and manage a schedule, operate in a tight deadline environment, work well under high-pressure, work long hours, operate expertly in Microsoft Word, PowerPoint, Excel and review proposals for accuracy and compliance with RFP instructions.
Responsibilities:
- Research and assess proposal requirements.
- Provide assistance in creating compliance matrices and proposal outlines.
- Assist in review of proposals to ensure satisfaction of RFP requirements.
- Assist in maintaining opportunity tracking database.
- Provide writing, revising, editing, and standardizing text for proper grammar, spelling, comprehension, and style.
- Coordinate logistics and meetings for the proposal manager.
- Provide desktop publishing for red team review documents and final proposals.
- Assemble documents for reviews and led production activities.
- Coordinate support resources and contract needs.
- Research and collect data for proposal writers.
- Has extreme attention to detail used to review documents for compliance.
- Assist Proposal Manager in keeping on schedule, tracking deadlines, etc.
- Impeccable spelling and grammar.
- Superior communication and customer skills, both to internal and external stakeholders.
- Assist in the development of Sources Sought, Request for Information, and white papers.
- Communicates effectively with the proposal team.
- Assists in business development efforts to include research and tracking of upcoming opportunities.
Minimum Requirements:
- Bachelor’s Degree (BA or BS) in Marketing, Communications, Journalism, Business, English, or similar degree.
- Minimum of 2 years of relevant, professional experience coordinating proposals or related documents for the Federal government.
- Experience in base and/or facilities operations is preferred.
- Must also have excellent time management skills and demonstrate the ability to work independently in a fast-paced environment, with a high-level of creativity/problem-solving ability.
- Working knowledge of SAM.gov and GovWin.
- Good organizational skills and ability to prioritize multiple tasks in order to meet schedules.
- Ability to work well in a team and meet tight deadlines in a fast page environment.
- Ability to set schedules for proposal efforts and keep team on schedule.
- Flexible schedule to work long hours including nights and weekends.
- Proficiency in Microsoft suite, including Word, Excel, PowerPoint, Visio, and Project.
- Rudimentary graphic design skills (i.e., familiarity with Illustrator, Photoshop, et al) a plus.
- Must have excellent verbal and written communication skills.
