Scope of Work:
The Administrative Assistant will provide day-to-day administrative support to the security team in Juneau, Alaska. Responsibilities include managing schedules, maintaining records, assisting with procurement, preparing reports, and supporting internal communications. This role ensures smooth office operations and helps maintain compliance with company policies, safety procedures, and performance standards.
Responsibilities:
- Provide general administrative support, including filing, answering calls, scheduling meetings, and arranging travel.
- Perform complex data entry across multiple formats and platforms with accuracy.
- Support management with documentation, timesheets, leave tracking, and personnel records.
- Create and maintain spreadsheets, databases, and reports using Microsoft Office tools.
- Assist in coordinating the procurement of supplies and tracking inventory levels.
- Respond to employee inquiries and escalate complex questions to the appropriate personnel.
- Provide support for property management and serve as a key point of contact for internal clients and vendors.
- Develop presentation materials, briefing documents, and charts as needed.
- Maintain office supply inventory and coordinate with vendors for replenishment.
- Ensure adherence to safety procedures and company policies.
- Support internal communication between the management team, security staff, and site stakeholders.
- Adhere to company policies, procedures, and safety regulations.
- Performs other duties as assigned.
Requirements:
- Experience providing clerical or administrative support in office or similar setting.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)
- Strong organizational skills with the ability to multitask and prioritize work effectively.
- Customer service skills for interfacing with internal teams and external clients.
- Must possess and maintain a valid state driver’s license and a safe driving record, in accordance with company policy, to operate vehicles or equipment as required for the position.
Physical Demands / Work Environment:
- Ability to sit or stand for extended periods while working at a computer or desk.
- Frequent use of hands for typing, data entry, and handling paperwork.
- Physical requirements include (but are not limited to) the ability to lift up to 25 pounds, pushing, pulling, carrying, stooping, bending, squatting, and reaching for long periods of time.
- Must be able to work on-call, alternate, and extend shift schedules when necessary to meet the mission requirements, including weekends and holidays.
