Scope of Work:

The Senior Accounts Receivable (AR) Specialist is responsible for overseeing and managing the full lifecycle of billing and collections for government contracts. This role ensures accurate, timely invoicing and compliance with all applicable regulations, including FAR and DFARS. The Senior AR Specialist serves as a subject matter expert and point of contact for complex billing issues, reconciliations, and audits.

Responsibilities:

  • Prepare, review, and submit complex invoices for CPFF, T&M, and FFP contracts in accordance with contract terms and government regulations.
  • Submit invoices through government platforms (e.g., WAWF, IPP) and ensure timely follow-up on approvals and payments.
  • Monitor accounts receivable aging reports and drive collection efforts to minimize DSO (Days Sales Outstanding).
  • Investigate and resolve discrepancies, rejections, and short payments in coordination with Contracts, Program Management, and Finance.
  • Reconcile billed vs. unbilled balances, project funding, and contract modifications.
  • Lead or support month-end close activities, including AR reconciliations, accruals, and journal entries.
  • Prepare audit schedules and respond to internal, external, and DCAA audit requests.
  • Maintain compliance with applicable regulations, internal controls, and company policies.
  • Serve as a mentor and escalation point for junior AR team members.
  • Adhere to company policies, procedures, and safety regulations.
  • Performs other duties as assigned.

Requirements:

  • Bachelor’s degree in Accounting, Finance, or related field required.
  • 5+ years of accounts receivable or government billing experience, with at least 2 years in a senior or lead role.
  • Strong understanding of FAR, DFARS, and DCAA compliance.
  • Experience with Deltek Costpoint (or similar ERP) required.
  • Proficiency in Microsoft Excel and financial reporting tools.
  • Strong analytical, problem-solving, and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Knowledge of indirect rate structures, project accounting, and funding limits preferred.
  • Experience with government portals such as WAWF, IPP, and MyInvoice preferred.
  • Prior experience supporting internal or government audits preferred.

Physical Demands / Work Environment:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Regular use of hands and fingers for typing, writing, and handling office equipment.
  • Ability to occasionally walk, reach with hands and arms, and stoop or kneel.
  • May occasionally lift or move objects up to 25 pounds (e.g., files, office supplies).
  • Clear vision to read documents on computer screens.
  • Ability to communicate effectively in person, by phone/video meeting, and email.
